How to Respond to Negative Google Reviews: UAE Templates in English and Arabic
To respond to a negative Google review, reply quickly and publicly, thank the person, apologise for the specific problem, say what you are doing about it, and move the detail to a private channel such as a phone number or email. Never argue, never reveal the customer's private details, and never accuse them of lying. Below you will find ready-to-use reply templates in English and Arabic for the situations UAE businesses face most often: slow service, wrong orders, rude-staff complaints, price disputes, unfair or fake reviews, and reviews with no text.
Why your reply matters more than the review itself
A negative review is read once by the person who wrote it and many times by the people deciding whether to visit you. Your reply is the part those future customers judge you on.
The BrightLocal Local Consumer Review Survey 2026, which polled 1,002 US adults in February 2026, found that 80% of consumers say they are more likely to use a business that replies to all of its reviews, and that generic or templated replies put off 50% of them. It also found that 19% expect a response on the same day they post, up from 6% the year before (BrightLocal, PinMeTo summary). The sample is American, so treat the percentages as a direction, but the lesson travels well: answer every review, answer quickly, and do not sound like a robot.
That second point shapes how to use the templates below. They are skeletons. Change the details, mention something specific about the visit, and sign with a real first name. A template sent word for word to five reviewers in a row is exactly the kind of reply that puts customers off.
The five-part structure of a good reply
- Thank them. Even for a harsh review. They told you something you would otherwise not know.
- Acknowledge the specific issue. "The 40-minute wait" is better than "the inconvenience".
- Apologise without grovelling or excuses. One sentence is enough. Do not blame the customer, the traffic, or the mall.
- Say what you will do or have done. Even small: "We have changed how we staff Friday lunch."
- Take it offline. Give a way to reach a named person. Keep it short; do not post a phone number for every single review if your volume is high, but do give an email or WhatsApp line.
Keep replies to three to five sentences. Long defensive replies get read as defensive.
How Google handles replies, and what you can do about unfair reviews
Google's Business Profile help says replies can show you are responsive, and that replies go through moderation: usually about 10 minutes, sometimes up to 30 days (Google Business Profile Help). So do not panic if your reply does not appear instantly.
If a review breaks Google's rules, you can flag it. Google does not publish a removal timeframe for flagged reviews. Google's Maps user-contributed content policy lists reasons a review can be removed, including fake engagement, conflicts of interest, and offensive content such as unsubstantiated allegations of unethical behaviour or criminal wrongdoing (Google Maps policy). A review is not removable simply because it is negative or because you disagree with it. If someone describes a genuinely poor experience, flagging it wastes time and a visible, calm reply is the better use of it.
Two things you must not do, because Google's policy prohibits them: offering a customer a discount, refund or freebie in exchange for changing or removing a negative review, and nudging only your happy customers to review you. If you do refund someone, do it because it is right, and do not tie it to what they post.
UAE-specific cautions before you hit Reply
In the UAE, a heated public reply can create a bigger problem than the original review.
- Defamation and insult laws are serious. Federal Decree-Law No. 34 of 2021 on combating rumours and cybercrimes is the framework lawyers cite for online insult and defamation, with penalties that can include fines running into hundreds of thousands of dirhams (Mondaq). Khaleej Times has reported that businesses can pursue both criminal and civil routes when a review is genuinely defamatory (Khaleej Times). The same law cuts both ways: a reply calling a customer a liar, a fraud or worse can expose you. Stay factual and polite, and speak to a UAE lawyer before threatening legal action in public.
- Do not share customer details. No names of staff involved in disputes, no order contents, no amounts paid, no medical or personal information. This matters most for clinics, dentists and salons (see our guide to Google reviews for clinics and salons in the UAE).
- Write for both languages. If the review is in Arabic, reply in Arabic. If it is in English, reply in English. A short Arabic line added to an English reply, or vice versa, is a nice touch in a city where customers read both, but keep the main reply in the reviewer's language.
- Respect tone. In Arabic, a formal, respectful register works best for complaints: apologise, thank, and offer to follow up.
Reply templates: English and Arabic
Replace anything in brackets. Keep your reply to the reviewer's language, and add the other language only when it helps.
1. Slow service or long wait
English: "Hi [Name], thank you for telling us. A [40-minute] wait is not the standard we want, and I am sorry it spoiled your evening. We were short-staffed at the weekend and we have since changed how we schedule Fridays. If you are willing, please message me at [WhatsApp/email] so I can look at what happened with your table. - [Your name], Manager"
2. Wrong or missing item in an order
English: "Thank you for your feedback, [Name]. Getting the wrong order is frustrating, and I apologise. We are checking how the mix-up happened at the packing stage. Please contact us at [email/WhatsApp] with your order number and we will make it right. - [Your name]"
3. Complaint about staff attitude
English: "Thank you for raising this, [Name]. Respectful service is a basic expectation here, and I am sorry you did not feel that. We take this seriously and I have raised it with the team. I would like to hear more from you directly; please reach me at [email]. - [Your name], Owner"
4. Price or fee complaint
English: "Thank you, [Name]. I understand the price felt higher than you expected, and we should have explained it better before you paid. Our [service charge/delivery fee] is shown on [the menu/our website], but I will make it clearer at the counter. I would be glad to go through your bill with you at [email]."
5. Review you believe is unfair or from someone who was not a customer
English: "Hello [Name], thank you for your comment. We could not find a visit or order under this account and we would like to understand what happened. Please contact us at [email] with the date and details so we can look into it. We value all feedback and want every guest to leave happy."
Notice what this reply does not say: it does not call the person a liar or claim the review is fake. It states a fact, invites contact, and leaves other readers to draw their own conclusion. If you genuinely believe it breaches Google's policy, flag it as well, but still reply.
6. One-star rating with no text
English: "Hello [Name], thank you for rating us. We are sorry we did not meet your expectations and we would like to learn what went wrong. If you can share a few details at [email], we will look into it."
What not to write
- "We are sorry you feel that way." It sounds like you do not think the customer is right.
- "As per our policy..." Policies do not read as human.
- Any detail that identifies the customer, their order, their appointment or their medical situation.
- Insults, sarcasm or accusations of lying or fraud.
- An offer of a discount or refund in return for changing the review.
- Copy-pasting the same paragraph under every complaint.
Timing: how fast to reply
Aim to reply within 24 hours, faster on weekends when restaurants and salons are busiest and customers are checking. According to the BrightLocal 2026 data above, nearly one in five consumers now expects a same-day response. Set a daily five-minute routine: check new reviews at opening or closing, reply, and note any recurring complaint for the team meeting.
If you have several branches, give each manager responsibility for their own replies, with a tone guide so all branches sound like one business.
Turn a negative review into a better system
Replies help, but the lasting fix is a healthier review profile. Two things work together:
- Learn from the pattern. If three reviews in a month mention the same thing, it is not a rude reviewer, it is a process to fix.
- Collect more genuine reviews, steadily. A single one-star review hurts much more on a profile with 12 reviews than on one with 400. We explain a realistic pace in how many Google reviews you need in Dubai.
A tap-to-review card makes the second one easier. A customer who has just had a good experience can leave a review in seconds, without searching for your business. Smaacaad's Google Review NFC Card with QR (AED 29) and Google Review NFC Stand with QR (AED 59) open your review form on tap or scan. Whatever you use, ask every customer in the same way and never offer a reward, because Google forbids incentivised reviews and selective solicitation. See our guide on collecting reviews the compliant way.
Frequently asked questions
Should I reply to every negative review?
Yes. A calm reply is for the next customer reading, not only the reviewer. BrightLocal's 2026 survey found 80% of consumers more likely to use a business that replies to all of its reviews.
Can I delete a negative Google review?
No, only Google can remove a review. You can flag one that violates Google's policies, such as fake engagement, conflict of interest or offensive content. Google does not publish a removal timeline.
Should I reply in Arabic or English?
Reply in the language the reviewer used. If your customers are mixed, a short second-language line is fine, but keep the main reply in the reviewer's language.
Can I take legal action over a false review in the UAE?
UAE cybercrime and penal law can apply to defamatory online statements, and lawyers cited by Khaleej Times say businesses can file criminal and civil cases. Whether a particular review qualifies is a legal question; honest criticism of a real experience is generally treated differently from malicious falsehoods. Talk to a UAE lawyer before threatening anything publicly.
Will replying improve my rating?
A reply does not change the stars, but it changes how readers see the business. Reviewers can edit their own review, and some do after a good resolution, but you must not ask for that in exchange for compensation.
